Buyer Permissions

Before getting started with learning how Buyer Permissions functions, it is recommended to know a little about how Retreaver’s Collaborators functions:

Getting started with Collaborators.

Permissions for buyers has a locking mechanic. You can lock the permissions to the entire company or to a specific collaborator or if the buyer is unlocked, the system will just use the permissions specified there. Most importantly, this feature allows you to give all or certain buyers the ability to edit their buyer record in your Retreaver account, making it so urgent late-night changes can be made without the account holder or superusers present, allowing granular customized control over all your buyers.

Default Buyer Permissions

Company-wide default settings can be configured for all collaborating buyers to inherit, even as you add new ones. Simply go to Settings and Company, then Edit. Otherwise, you can just click this link. You can choose what you do and do not want collaborating buyers to be able to see and modify by default. All collaborating buyers have these permissions until specified otherwise via editing Collaborator or buyer permissions explained further along.

You may also edit permissions for a collaborator in the event that they manage multiple buyers. By selecting Settings on the left menu, followed by Users and Collaborators, you can then select Permissions to edit what that individual has capabilities to do when managing buyers for your company.

On the following screen pictured below, you may customize this individual’s permissions within your company. Once you click the padlock icon, this unlocks the settings for this specific collaborator, overriding what you have set for default in the company screen described above.

Lastly, you can override everything you’ve configured in the company defaults or the collaborator record above by selecting Buyers in the left menu then simply click the number for the Buyer. The following screen pictured below has the Permissions tab where you can customize the override permissions for any collaborator managing this Buyer.

Collaborating with Publishers and Call Buyers

Retreaver makes it simple to give Publishers and Buyers access to all the necessary functionality they need to track their calls.

Through Publisher and Buyer roles, you can grant secure access to your partners to help them efficiently collaborate with you. Do not share logins with anyone.

Affiliates and buyers are able to login to Retreaver as collaborators and can view their own dashboard and Call Log. They can run reports on their calls and even interact with our API, all under the security provided by their permission-restricted role.

Collaborators will receive an error if they try to accept an invite from an email while being logged into a different Retreaver account.


Publishers are used in the Retreaver system to segment call traffic by source. You can use the Publisher role to grant access to the parties responsible for driving your traffic.

What Affiliates See

The publisher role allows you granular control over which campaigns and phone numbers each publisher has access to. Publishers can only create new phone numbers if your per-affiliate “number cap” allows it and only for campaigns that they have been manually granted permission to access.

They can view calls that were generated through any phone numbers that they have been granted access to, but only limited information as defined by the collaborating Publisher’s Permissions. Any calls that were generated before they were granted access to a phone number will not be visible to them.

Buyers are the destination of your call traffic to be forwarded to. If you aren’t selling your traffic to others, you might wish to use the buyer role to grant access to your calls’ recipients, such as individual stores, branches, or call center managers.

What Targets See

Buyers are granted access to any calls that have been routed to their Buyer. Collaborators can run reports, listen to call recordings, and conduct their own analyses.

When creating or editing a Buyer, you can invite them to collaborate with you by entering their name and e-mail address. Once they accept the invite, we’ll only give them access to calls that are routed to Buyer’s associated with them. They won’t be granted access to any calls that were unanswered by them and sent somewhere else.

Inviting a Publisher or Buyer

When creating or editing Publishers or Buyers to collaborate with you, simply enter their email addresses to invite them. They’ll be sent a confirmation email, and will then be able to interact with your account through their own logins with permissions specified.

Click + Invite from the collaborator screen to add a new collaborator. Enter their name and e-mail address, and select which Publishers and/or Buyers you want the collaborator to act as in Retreaver. Once you click Invite at the bottom of the form, we’ll invite your collaborator and you must now configure their permissions.

Granting Publisher Permissions

This step is vital, as without it, your invited collaborator may complain that they don’t see anything on their account when they are logged in.


To grant permissions go to Settings>Users>Collaborators>Permissions on the right, seen above


Invited status means they have not yet clicked the link in the email, be sure to check junk mail.

No Permissions status means their permissions have not yet been configured.

Connected status means they have confirmed the invite and have permissions set.

Select Permissions for collaborating Publishers on the right and you will see the screen below with Campaigns on the left, and the ones they have access to on the right.

Limiting Numbers Publishers can obtain

Configuring a number cap for a Publisher. Number pool numbers do not count toward this cap.

You can and should limit the number of phone numbers a Publisher can have provisioned by editing their record. Once they reach this cap, they’ll be informed that they can’t create any additional phone numbers.

You can completely block Publishers from creating numbers by setting their number cap at 0. You’ll still be able to provision numbers for them, but you’ll need to grant them access to the numbers via the permissions screen.

You can set the default number cap for new Publishers by editing your company.

Collaborate With Us

With Retreaver you can share access to your account with your co-workers, publishers, and call buyers. Go to Settings>Users>Collaborators>+New Collaborator to create one from scratch, or just input an email when you create the Publisher or Buyer record.


Inviting a collaborator.

Add your Publishers as collaborators, and grant them access to a certain set of campaigns. They’ll then be able to create phone numbers, and view information about the calls they generate in their call log. You’ll be able to see what they’re up to in the new activity log on your dashboard.

Add your lead buyers as collaborators too, so they can monitor calls in real-time.


Add your co-workers as superusers and let them access your Retreaver account. Do not share logins.

Manage multiple companies

You’re now no longer limited to having only 1 company on your account. Perfect for agencies, power-users, or resellers, you can now easily create and manage multiple companies.

New dashboard

Your Retreaver dashboard now brings you more of the information you need to know, in one place, and at a glance. The widgets along the top will be customizable in an upcoming release.

Our new charts put the focus back where it should be: on tracking conversions and optimizing ROI.

The recent activity section will help you keep track of changes being made to your account by different collaborators.

Improved call log

The new tag statistics chart.

We’ve added a dynamically updating chart to the call log. Click “Calls & Conversions” on your call log to reveal the chart.

The call log now allows you to filter calls by tag, and has an incredible chart which breaks down conversions and non-conversions per tag value.

The chart on the call log automatically updates as you change your filters or search term, and you can easily save the chart to an image file or PDF to share.
